Knowledge Base: Highrise Tags Integration

Although the Highrise API does not support tags, we have figure out a way to allow you to bring your contacts into Newsberry with their tags.

In order to segment your Highrise contacts using the tags you've established in Highrise, you'll need to first select the tags that you'd like to import. At this time, you cannot import your all of your contacts with all of their tags.

When you go to the Highrise Integration page, you'll see a text field where you can enter your tag names.

Decide which tags you'd like to bring into Newsberry, and type them into the text field, separating each by commas. When you sync, Newsberry will bring over all the Highrise contacts that contain those tags. You can have multiple tag for each subscriber. Also, the first time you sync your tags, Newsberry will add a Tag field into your Fields and Forms automatically.

Highrise Sync

There are two different ways the Highrise sync works: Automatically with Enable Highrise Sync and manually by clicking Sync Accounts.

If you DON'T have Enable Highrise Sync checked on, and you do a sync, Newsberry will review your contacts and only update your existing contacts in case they have the same email address as the ones in your highrise account or Newsberry will add new subscribers from your highrise account to your subscribers list. These contacts will not be marked as highrise contacts on Manage subscribers page.

If you have Enable Highrise Sync checked on, and you do a sync, Newsberry will review all Highrise contacts and update your Active list to fit the Tags you have requested. Same situation as above, only this time if you removed some of the tags from Highrise tags tags list, those contacts will become inactive. In case you have changed your mind, and you put back to the list these tags, on sync contact with those tags which were inactive will become active now (in case they were not marked unsubscribed, bounced, spam or manually deactivated in meanwhile).

Things to note

There are few rules we had to put in place in order to pull in Highrise tags. They are outlined below:

  • Only contacts that are included in your tags will be active at any given time. This means that if you remove a tag, on the next sync all those contacts with that tag become Inactive.
  • If you want to add a new tag, make sure you do not delete any existing tags in the text field (otherwise, those contacts become inactive).
  • If you add tag, which you have removed before, those contacts will be reactivated only in case they were not marked unsubscribed, bounced, spam or manually deactivated in meanwhile
  • The Tag field cannot be removed once it's created. This is to make sure any sublists that you have created do not disappear. If you remove all Highrise Tags from the text field, the field will remain, it will just be empty.

Segmenting based on Highrise Tags

Now that you can bring in your tags, you can segment your campaigns based on those tags using sublists.

If a contact has more than one tag, the tags are separated by a comma but contained within the Tag field. Here are some examples of how to create sublists.

If you want contacts who only have a tag developer, you would set the rule:

Tag equals developer

If you want contacts who have a tag developer among other tags, you would set the rule:

Tag contains developer

If you want contacts who only have a single tag of either developer or client, you would set the rule:

Tag contains developer, client

If you are already using Highrise Sync

Please be aware that if you select specific tags before your next sync, Newsberry will deactivate all subscribers who do not contain those tags. Please make sure you include all the tags you want to have in Newsberry.
